Privacy Policy

This Privacy Policy explains how SayVia collects, uses and protects your personal data when you use our website, applications and services (the “Platform”). We process personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (the “GDPR”) and the Irish Data Protection Act 2018.

It should be read together with our Terms of Service.

1.Who is responsible for your data

The data controller for the personal data described in this policy is Artur Horepokin, a sole trader registered in Ireland, operating as “SayVia”. 2.The data we collect

  • Account data — your name, email address, password and role (client or translator).
  • Profile data — for translators: languages, rates, work history, courses and location/counties served.
  • Verification data — certificates, diplomas or references you upload so we can verify a translator profile.
  • Booking data — details of offers, jobs, schedules, locations and travel distances.
  • Payment data — payments are handled by Stripe; we receive limited transaction data (such as amount, status and a payment reference) but not your full card number.
  • Messages — the content of messages you send to other users through the Platform.
  • Technical and usage data — IP address, device and browser information, and how you use the Platform, collected largely through cookies and similar technologies.

3.How and why we use your data (legal bases)

Under the GDPR we rely on the following legal bases:

  • Performance of a contract — to create and manage your account, list profiles, handle bookings, process payments and payouts, and provide support.
  • Legitimate interests — to verify translators, keep the Platform secure, prevent fraud and abuse, and improve our services, in a way that is balanced against your rights.
  • Legal obligation — to meet accounting, tax and other legal requirements, and to respond to lawful requests.
  • Consent — for optional cookies and any marketing communications; you can withdraw consent at any time.

Where verification or booking information reveals special-category data (for example, a medical or legal interpreting context), we process it only as necessary to provide the Services and on an appropriate legal basis, such as your explicit consent or the establishment of legal claims.

4.Who we share your data with

  • Other users — when you book or accept a job, relevant details (such as your name, booking information and messages) are shared with the other party so the Service can be delivered.
  • Stripe — our payment processor, to take payments and make payouts.
  • Service providers — hosting, file storage, analytics and communications providers who process data on our behalf under a data-processing agreement.
  • Authorities and advisers — where required by law, to enforce our Terms, or to protect our rights, users or the public.

We do not sell your personal data.

5.International transfers

Where a provider processes data outside the European Economic Area, we ensure appropriate safeguards are in place — such as an adequacy decision by the European Commission or the European Commission's Standard Contractual Clauses — so that your data remains protected to GDPR standards.

6.How long we keep your data

We keep personal data only for as long as necessary for the purposes described here. In practice, account and profile data are kept while your account is active; booking and transaction records are kept for as long as required to meet legal, accounting and tax obligations (generally up to six years); and verification documents are kept for as long as a profile is listed. When data is no longer needed, we delete or anonymise it.

7.Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you and receive a copy;
  • have inaccurate or incomplete data corrected;
  • have your data erased in certain circumstances (the “right to be forgotten”);
  • restrict or object to certain processing, including processing based on legitimate interests;
  • receive your data in a portable format and, where technically feasible, have it transferred to another provider;
  • withdraw consent at any time, without affecting processing already carried out.

8.Cookies

We use cookies and similar technologies that are strictly necessary to run the Platform (for example, to keep you logged in), and, with your consent, cookies that help us understand and improve how the Platform is used. You can manage non-essential cookies through your browser settings or any cookie controls we provide.

9.How we protect your data

We use appropriate technical and organisational measures — including encryption in transit, access controls and secure hosting — to protect your data against unauthorised access, loss or misuse. No system is completely secure, but we work to keep your data safe and will notify you and the Data Protection Commission where a breach requires it.

10.Children

The Platform is intended for users aged 18 and over. We do not knowingly collect data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

12.Changes to this policy

We may update this Privacy Policy from time to time. If we make a material change, we will take reasonable steps to let you know. The “last updated” date at the top shows when it was last revised.
